Define the decision around the operating objective
The first question is whether the project needs to restore an existing function, address a safety or maintenance concern, or achieve a new process, data, throughput, automation, atmosphere, temperature, pressure, or documentation requirement. A clear objective prevents a repair, retrofit, and replacement option from being compared as if they solve the same problem.
Record the present equipment condition
Collect the model, age, known configuration, maintenance history, operating limitations, alarm or data records, drawings, photos, controls, hot-zone or mechanical assemblies, utilities, and available documentation. Identify which observations are confirmed and which still require inspection.

Plan validation and controlled change
Any approved modification or replacement should identify the checks, utility interfaces, records, trial or dummy tooling, operating procedure updates, training, inspection method, and acceptance responsibilities required for the project. Material results remain subject to the agreed process and validation plan.
Prepare a fact-based review request
Send the current equipment information, photos or drawings, maintenance history, current operating limitation, target capability, site constraints, planned downtime, desired documentation, and validation objective. This lets the technical discussion focus on feasible options and the information still needed before a scope is confirmed.
